Designing for Efficiency

LIVE

Who are

Team Leaders (TL’s)?

In order to understand this project better you need to know...

At Gigforce, Team Leaders play a vital role in Ground Ops team. Their primary responsibility is to recruit and oversee gig workers (gigers) on the field. Team Leaders lifecycle also involves visiting Hubs (which are the clients' locations where gig workers operate) and work closely with both gig workers and clients to understand requirements and ensure fulfilment.

Each Team Leader is responsible for managing approximately 30-50 gigers and overseeing 3 to 4 hubs with multiple clients. Their role involves coordination, communication, and efficient management to ensure a smooth workflow between gig workers and clients.

🔍 This is the Research-focused project to understand complete task flow of Team Leaders and conceptualising product to digitalise the complete interaction between Giger and Team-Leader to increase their efficiency and save them time to focus on core tasks rather than managing sideline tasks.

Project Timeline

We took total of approx. 10 weeks for this project

We were team of 4 professionals working on this project-

1 Product Manager

1 UX Designer

1 CSE

1 Area Ground Manager

My role was to participate in the project and design the route till solution. Put in with initial brainstorming and solution focused direction.

Helped in the process to deliver the best fit solution to Team-Leaders (users).

Major Key-points

Demand

Giger Profile

Onboarding

Attendance

Received verbally and no records management.

It was more time-taking and required lot of manual effort.

No rigid route. Selection-form of 60% gigers are not filled.
If filled then TL don’t have visibility of true conversions and document status.

TL’s created a WhatsApp group of gigers they selected and ask for a selfie on WhatsApp, to mark attendance on excel they try to maintain.

No direct visibility of Giger info. and their document status etc. for everything TL needed to connect central team.

Performance
Tracking

No view of gigers under him & not able to track attendance or work-days showups.

Every TL handles 3-4 hubs on average and also have to visit on 6-7 hubs to track demand & supply.

01

There has been no fixed hub allocation to TL’s

02

There is no standard flow of onboarding and lot of different payout structures to remember.

03

The time when scout receives the demand of client, it’s already fulfilled.

05

There is 35% attrition among gigers

06

There is no standard flow of onboarding and lot of different payout structures to remember.

07

The current flow of receiving demand:

Client TL -------- Client HR -------- Our CAM Team -------- Ground Managers -------- Team Leaders

04

After extensive brainstorming and considering both the technical constraints and the fast-paced work-life of Team Leaders (TLs), we have developed a solution called TL Workspace. Recognising that TLs are more comfortable with mobile devices than laptops, TL Workspace is a mobile dashboard specifically designed to cater to their needs. This comprehensive tool allows TLs to efficiently manage tasks related to both existing and new gig workers, empowering them to stay on top of their responsibilities with ease.

Iterations

We brainstormed a lot & few options were rejected but few kept for next phase...

Major User Flows

Talking of solution, UX is important but UI too....what do you say?

Before we jump to the user flows let me introduce you to the various sections/segments of TL Workspace:

Activity Tracker

Monitoring giger attendance is crucial for TLs, which is done by this section.

It consist of 4 sub-sections i.e.

Enabled: All gigers selected by TL, who are currently working & not dropped

1st Day Live: Giger who completed their 1st gig after selection & not disappeared

Active: Giger who marked attendance that day

Inactive: Gigers who didn’t marked attendance that day.

Retention

In this section, we focus on potential dropouts among gigrs. It comprises gigers who have been inactive for more than two consecutive days. By categorising them here, we can proactively address their disengagement and take necessary steps to re-engage them in the gig ecosystem.

Selection

Another actionable section is selections, which consist 4 sub-sections...

Total Selections: All the gigers selected by TL till date

Pending 1st Gig: Gigers selected but havn’t completed their 1st gig

New Leads: Potential selections or leads curated by TL or given by central team (Digital) are listed here.

Disabled Gigers: Gigers dropped or left gigforce.

Quick Action

The quick menu provides TL with easy access to essential tools for managing gig workers. In addition to the Activity Tracker, Selections, Retention, and Compliance features, TL can also access Hub Demand, Selection Form, and Login Summary.

While the Ticketing System and Payout features are currently scheduled for phase 2, the existing quick menu options empower TL with the necessary functionalities to effectively manage gigers and their tasks.

Compliance Pending

Another important actionable point is to prioritise checking on gigers whose documents are pending, particularly their Bank Details and Aadhar Card. These two documents are crucial for processing payouts. Therefore, it is essential for TL to ensure that gigers provide and update these necessary details to avoid any payment-related issues.

Conclusion

I know is a lot so now lets sum-up....

At Gigforce, Team Leaders (TLs) play a crucial role in managing gig workers on the field. Our research-focused project aimed to understand TLs' tasks and develop TL Workspace, a mobile dashboard designed to enhance their efficiency.

TL Workspace provides tools such as the Activity Tracker, ensuring attendance monitoring and resolving discrepancies. Retention focuses on potential dropouts, and Compliance Pending verifies essential documents like Bank Details and Aadhar Card for smooth payouts.

The Selections feature streamlines onboarding through a three-step form, and Quick Actions grant easy access to Hub Demand, Selection Form, and Login Summary. The Drop Flow enables TLs to manage gig worker exits and identify trends for improvement.

Overall, our project optimises TL workflows, improves data accuracy, and empowers TLs for effective gig worker management at Gigforce.
